Release Notes 54

We're excited to introduce a fresh batch of updates to the Playfood software, many of which were requested directly by our partners. This release will have a significant impact on those working with grocery and dropshipping models, offering greater flexibility, smoother operations and enhanced customer experiences. Let's take a look at what's new.

1. Order Editing

One of the most requested features is now live: the ability to edit orders directly from the Vendor Panel or the Call Centre Panel before they are picked up by couriers.

Whether a customer wants to correct an error or a vendor wants to remove out-of-stock items, this update helps to keep operations clean and efficient.

Please note that this feature is not enabled by default; you will need to activate it in your settings. You also have full flexibility to decide who can make edits, whether that's vendors, call centre agents or couriers, so you can tailor the process to your operational structure.

Here’s how it works:

  • You can edit both cash and online paid orders, but only before the courier accepts the order.

  • You can delete a product or reduce its quantity, but you cannot remove the product completely if it is the only item in the order.

  • After making changes, the system automatically recalculates the delivery price. If the new delivery fee is higher than the original, the changes won’t be saved — this ensures transparency and protects customer trust.

  • Currently, only the main product count can be edited, not the components within dishes or items.

However, a few key restrictions apply:

  • Promo code orders cannot be edited.

  • Cash-paid orders are locked once a courier has marked them as 'in realization'.

This tool is particularly useful for:

- Vendors (e.g. grocery stores) who need to update out-of-stock items in real time.

- Call Center agents who need to adjust order quantities when customers request changes.

2. Courier-Side Editing

Couriers now have limited editing capabilities for online paid orders. Using the order detail page, introduced in our last release, couriers can:

  • Tap the 'Edit' button to make necessary product edits during fulfilment.

  • They can also ensure that the delivery price remains the same after editing, thus preventing any unintended price increases for the customer.

  • This is especially useful in dropshipping or grocery scenarios, where substitutions or removals are sometimes unavoidable.

This is the MVP1 version of the order editing feature, which is the first step towards giving you extensive control over order management. We’ve developed it with key functions that solve real operational challenges, and now it’s your turn to try it out. Your feedback is crucial: based on your real-life use cases and suggestions, we will refine and expand the functionality in MVP2 to better meet your business needs.

3. Improved Product Search in Shops

Just like in restaurants, customers can now search for specific products within a particular shop using a dedicated search button.

This update to the categories tiles for grocery stores, along with the new search function, is a game-changer for grocery partners with hundreds of items across multiple categories. Customers no longer need to open each category or scroll endlessly — they can now find exactly what they need faster.

4. Online Payments and Refund Transparency

If an order is edited after payment has been made, the system will automatically process any necessary partial refunds and display the breakdown in reports.

This applies to:

  • Stripe and Hyperpay integrations.

  • Custom payment gateways connected via our API;

This update helps to keep records clear for both vendors and customers, thereby improving financial transparency and reporting.

5. Limit Product Quantities per Order

To help you manage stock and prevent misuse, we have added a 'Max Count' field to the Vendor Panel.

This allows vendors to limit the number of units of a specific item that can be added to a single order, including variations or components (e.g. toppings or sizes).

This feature works for both restaurant and grocery models, helping you to maintain control over inventory and customer flow.
